Summary

The Billing and Business Operations Associate is a hybrid position that combines billing operations with business processes and regulatory compliance. This role ensures financial accuracy while supporting operational efficiency in a dynamic SaaS environment. Ideal candidates will excel in cross-functional teamwork while upholding a strong focus on detail.

Responsibilities

Billing Responsibilities:

  • Assist customers with billing-related inquiries via phone, email, or support chat

  • Securely handle sensitive customer information (e.g., credit card details, client information)

  • Accurately and promptly activate customer accounts, including setting up multi-tier recurring subscriptions in Stripe, generating invoices, processing payments, and maintaining records in Salesforce

  • Process changes and mid-cycle upgrades/downgrades for various pricing plans (monthly/annual)

  • Resolve failed payments through dunning management and payment method updates

  • Timely and accurate processing of cancellation requests and corresponding subscription changes in Stripe

  • Provide occasional assistance with ad-hoc billing projects, including customer base reviews, price changes, and pricing plan restructuring

  • Execute projects with clearly defined steps, follow direction, and demonstrate independent thinking when needed

Business/ Compliance Support Responsibilities:

  • Respond to compliance inquiries from customers, auditors, or regulatory authorities, providing requested documentation (e.g., audit reports, certifications)

  • Maintain organized records of compliance requests and audit-related activities

  • Assist in reviewing and updating internal policies as needed

  • Occasionally assist with in-office coverage, including reviewing and escalating operational issues, office deliveries, serving food, and restocking the kitchen

Qualifications

  • Strong communication skills are essential for interacting with customers in this role.

  • Strong analytical and problem-solving skills

  • Bachelor’s degree in Finance/ Business Administration or equivalent practical experience

  • Proficient in Excel with a solid understanding of its features and functions.

  • Previous experience with recurring subscriptions and/or a SaaS company preferred

  • Familiarity with payment processing platforms like Stripe preferred

  • The ability to think quickly and manage multiple tasks simultaneously is crucial for success in this role.

Location, Schedule & Salary

  • Schedule: 8-hour shift, Monday to Friday

  • Location: Shelton, CT (Hybrid)

  • Overall target compensation: From $45,000 per year, plus an annual bonus
